IRCC Updates Use of Representative Form: Key Changes and What Applicants Need to Know

The Immigration, Refugees and Citizenship Canada (IRCC) has introduced an updated version of the Use of Representative form, enhanced clarity and streamlined processes for immigration applicants and their representatives. The latest modifications aim to provide better control over representation and ensure smoother communication between applicants and the IRCC.

Key Changes in the Updated Form

The revised form allows applicants and representatives to take the following actions:

  • Appoint or cancel a representative – Applicants can now easily designate a new representative or remove an existing one.
  • Permit representatives to withdraw – Immigration consultants, lawyers, and other authorized representatives can now formally withdraw their representation.
  • Indicate pro bono cases – The new version includes an option for representatives to specify if they are providing their services free of charge.
  • Update representative contact information—To ensure uninterrupted communication with IRCC, any changes in representative details must be communicated using this form.

While the updated form is now available, IRCC will continue accepting the previous version until June 1, 2025. However, applicants are encouraged to transition to the new format as soon as possible to avoid processing delays.

Who Should Use This Form?

Applicants must complete this form if they need to:

  • Appoint a new representative for their immigration application.
  • Update the contact information of an existing representative.
  • Cancel the appointment of their current representative.
  • Cancel an existing representative and appoint a new one in their place.
  • Withdraw from acting as a representative.

Additionally, if an applicant has dependent children aged 18 or older, each dependent must submit a separate Use of Representative form if a representative is handling their immigration matters.

Difference Between a Representative and an Authorized Individual

It’s important to distinguish between a representative and an authorized individual. If an applicant only wants someone to receive information about their case but not act on their behalf, they must complete the Authority to Release Personal Information to a Designated Individual (IMM 5475) form. The designated person will be able to access information about the application but will not have the authority to interact with IRCC on the applicant’s behalf.

The updated Use of Representative form is designed to provide greater transparency and efficiency in handling representation for immigration applications.
